Events funded through the White Rose Community Fund must:

• Be submitted by a cross-institutional team: Ensure your team includes representatives from at least two, preferably three, university partners (Leeds, Sheffield, York).
• Open activities: Activities should be accessible to relevant communities within the three institutions. We cannot fund activities open to other organisations. If your event targets a broader audience than just the White Rose partners, please reach out to us at info@whiterose.ac.uk

Consumables
For your event(s), consumables such as food and soft drinks (excluding alcohol) are covered. These costs must comply with the host university’s regulations regarding catering expenses.

Travel expenses
To facilitate attendance from colleagues at other White Rose organisations, we will cover travel costs up to £25 per person. This should cover the return trip from their home university to the event location, ideal at a partner university. However, we will not cover travel costs for colleagues attending events at their home university. For example, if you are based in Leeds, we will not cover the cost of travelling to Leeds. All travel expenses must adhere to the host University travel policy.

Other expenses
Supporting materials like handouts and programmes can be included.

You can apply at any time. There are no funding rounds.
Applications must be received before the event takes place, events that have already taken place are not eligible.

About you and your team

• In this section, you will be asked to provide detailed information about yourself and your team. To qualify for funding, your team must include representatives from at least two of the following partner universities: Leeds, Sheffield, and York.
• By submitting an application you are identifying yourself as the lead and confirming that you are the point of contact for all queries relating to this award.

Your application

• Please tell us why you are applying for the community fund - what is your vision and aim? How will this build a network across our partner universities? (Less than 1500 characters/300 words).
• Who is your target audience?
• Title of your event/activity/network.
• How much funding are you requesting?
• Please provide an outline of your planned activity, including a breakdown of costs (catering, travel, other). Please include your expected attendance numbers and explain how your costs offer value for money.
• When would you like to hold the event?

If you are awarding funding then you are expected to:

• Act as the primary contact for all related queries.
• Establish a workorder with assistance from your departmental Finance Officer.
• Manage the budget and ensure all expenditures comply with your university's financial guidelines.
• Submit a post-event report within one month of the event's conclusion. This report will be used to create a news article. If possible, please include photographs of you and your colleagues (ensure you have permission to take and use these photos).
• Finalise all event-related finances within one month of the final event.
